These terms apply to HolidayHQ, operated by Timpact HolidayHQ, a trade name of Timpact Leisure Solutions, registered in the Dutch Business Register (KvK) under number 99847574, VAT NL005414201B20. Contact: support@holidayhq.nl. By creating an account or using HolidayHQ you agree to these terms.
1. Definitions
- HolidayHQ, we, us: Timpact HolidayHQ, as described above.
- The service: the HolidayHQ app and the website holidayhq.nl, with everything they offer.
- You: the person who uses the service, with or without an account.
- Account: your personal access to the service, protected by your password and two-step verification.
- Content: everything you add to the service, such as trips, plans, places, reservations, documents, visas, memories and notes.
- Shared trip: a trip whose owner has invited other people as Traveller or Viewer.
2. These terms
- These terms apply to every use of the service. The privacy policy explains how we handle your personal data.
- If a part of these terms turns out to be invalid, the rest stays in force. The invalid part is replaced by a valid rule that comes as close as possible to what was intended.
- If we do not insist on a rule straight away, we do not give up the right to do so later.
- The English text is the original. If the Dutch translation differs, the English text applies.
3. What HolidayHQ is
A personal place to plan and keep your trips, for your own, non-commercial use. HolidayHQ is free. It is not a travel agency and does not sell trips: your reservations stay with the companies you made them with, and their conditions apply.
4. Travel information
Places, opening hours, photos, tips and public holidays come from other sources and can be wrong or out of date. Always check the details that matter, such as times, visa and entry rules, before you travel.
5. Your account
- You need to be 16 or older to create an account.
- An account is personal. Use an email address you can read and, if you add a name, your own name. Do not let anyone else use your account; you cannot transfer it.
- Keep your password and authenticator app safe and do not share them.
- You are responsible for what happens in your account, unless you could not have prevented it.
- Tell us at support@holidayhq.nl straight away if you think someone else is using your account. We may then block the account for a while to protect it.
- We send important messages about your account and these terms to your email address, so keep it up to date.
6. Your obligations
You use the service carefully and within the law. In particular, you do not:
- store or share content that is illegal, or that infringes someone else’s rights, such as copyright or privacy;
- add other people’s personal data unless you are allowed to, for example the names of your fellow travellers on a reservation;
- invite people who do not expect it, or send unwanted messages;
- try to reach other people’s data, get around the security or limits of the service, or overload it;
- use bots, scrapers or other automated ways to access the service, or copy, sell or rent it out;
- add viruses or other harmful code;
- pretend to be someone else.
If you break these rules and that causes us damage or leads to claims from others, you are responsible for it, as far as the law allows.
7. Your content
- What you add stays yours.
- You give us a free, non-exclusive permission to store, copy (for example for backups and smaller photo copies), process and show your content, worldwide, only to run the service for you and for the people you share a trip with. This permission ends when the content is deleted, apart from what the privacy policy says about backups and shared trips.
- You confirm that you are allowed to add your content and to share it with the people you invite.
- When you share a trip, the people in it see what their role allows. You decide who you invite. We are not a party to agreements or disagreements between the people in a trip.
- We do not look at your content, except when needed to deal with a report (article 8), a legal obligation, a security problem, or a question you ask us.
8. Reporting illegal content
Content in HolidayHQ is private and only visible to the people in a trip. If you still come across content you think is illegal, report it to support@holidayhq.nl. Please tell us:
- why you think it is illegal;
- where it is, as precisely as you can (for example the trip and the item);
- your name and email address (not needed for reports about child sexual abuse material);
- that you believe in good faith that your report is correct and complete.
We confirm that we received your report, look at it carefully, objectively and in good time, and tell you what we decided. If we remove content or limit an account, we tell the user why, which rule it breaks and how to object (article 16). These decisions are taken by a person, not by an automated system. This email address is also our contact point for authorities and users under the EU Digital Services Act; you can write to us in Dutch or English.
9. Our rights
- We may change, add or remove features, for example to improve the service or keep it secure.
- We may set reasonable limits, such as on storage or the number of requests, and make the service unavailable for a while for maintenance or security.
- We may remove content that breaks these terms or the law, or that we have to remove by law.
- We may stop HolidayHQ altogether. We then tell you at least 30 days in advance, so you can save your content or ask us for a copy.
10. Suspending or closing an account
We may suspend or close your account, or limit what it can do, if:
- you break these terms or the law;
- your account puts the security of the service or other people at risk;
- we have to by law or by order of an authority.
We act in proportion to what happened. Where we can, we tell you first, with our reasons, and give you the chance to respond and to save your content. In urgent cases, for example a security risk, we act first and tell you afterwards. You can object (article 16).
11. Ending your account
You can delete your account at any time, in the app or on this website. What happens to your data is described in the privacy policy.
12. Availability
HolidayHQ is free and offered as it is. We work to keep it available and your data safe, but we cannot promise it is always available, free of errors, or that no data is ever lost. Keep your own copies of important documents, such as tickets and visas.
13. Intellectual property
The app, the website, the name HolidayHQ, the design and the software belong to us or to our licensors. You get a personal, non-transferable right to use the service under these terms; you may not copy or reuse it in any other way. Photos, maps and facts from other sources, such as Unsplash, Wikimedia and Google Maps, belong to their owners and are used under their licences.
14. Liability
HolidayHQ is a free service. Our liability is therefore limited as follows:
- We are not liable for indirect damage, such as missed travel, extra travel costs, lost income or lost enjoyment.
- We are not liable for damage caused by wrong or outdated travel information from other sources, by reservations with other companies, by the people you share a trip with, or by the service being unavailable.
- We are not liable for lost content, except where we caused the loss on purpose or through gross negligence.
- If we are liable anyway, our total liability is limited to €100 per event, or the amount you paid us in the 12 months before the damage, if that is higher.
- These limits do not apply to damage caused by our intent or gross negligence, or to liability that cannot be limited by law.
- To claim damages, tell us in writing as soon as you can after you noticed the damage.
15. Force majeure
We are not liable if we cannot meet our obligations because of circumstances beyond our control, such as failures of our hosting, email or map providers, internet or power failures, cyberattacks despite reasonable security measures, natural disasters, war, epidemics or government measures.
16. Complaints and objections
- Send complaints, and objections to a decision about your content or account, to support@holidayhq.nl. Describe what happened, and for an objection, which decision it is about.
- We confirm receipt within 5 working days and answer within 14 days. If we need more time, we tell you why and when you can expect an answer.
- An objection against a decision under articles 8 or 10 can be made up to 6 months after the decision. It is free and reviewed by a person.
- If we cannot solve it together, you can go to court (article 19).
17. Time limit for claims
Claims against us expire one year after you knew, or could reasonably have known, about the facts the claim is based on.
18. Changes
We may change these terms. When a change matters to you, we tell you in the app or by email at least 14 days before it applies. If you do not agree, you can delete your account before then. Last updated: 8 October 2026.
19. Law and court
Dutch law applies. Disputes go to the competent court in the Netherlands. If you are a consumer, you may also go to the court where you live, and the mandatory consumer protection of the country where you live still applies.
